Every March, the same conversation happens in principals' offices across India: enquiries are flat, walk-ins aren't converting, and someone proposes spending more on ads. By June, the budget is spent and the admission number has barely moved.
The uncomfortable truth: most schools don't have an enquiry problem. They have a conversion problem — and conversion problems can't be fixed with visibility spending.
Where Admissions Are Actually Lost
Follow a parent through a typical admission journey: they call, and the phone is answered by whoever is nearest. They visit, and the tour depends entirely on which coordinator is free. They ask "what makes your school different?" and get a list of facilities every school in the area also has. They say "we'll think about it" — and nobody follows up.
Each of those moments leaks admissions. None of them is fixed by another hoarding.
The 5-Step Process
Step 1: Baseline study. Before changing anything, measure the funnel: enquiries → visits → applications → confirmations, by grade and by source. Most schools have never seen these numbers together, and the first look is usually revealing — for instance, discovering that walk-in-to-admission conversion is 15% when comparable schools achieve 35%.
Step 2: Admission journey discovery. Experience your own school the way a parent does — the phone call, the visit, the questions, the follow-up. Document every touchpoint and every leak. This is consistently the most uncomfortable and most valuable step.
Step 3: Competitor study. Parents compare; schools rarely do. Understand what nearby schools promise, what they charge, and how they handle the same journey. Differentiation is impossible if you don't know what you're being compared against.
Step 4: Orientation for coordinators. The people who answer the phone and run the campus tour are your admissions team, whether or not you call them that. Train them: how to listen for what a parent actually cares about, how to tell the school's story specifically, how to follow up without pestering.
Step 5: Insights dashboard. Make the funnel visible every week — not once a year at review time. When leadership sees conversion moving in real time, decisions shift from opinion to evidence.
Schools that run this process typically improve admission conversion by 20% — with the same marketing spend, and often less.
The Longer Game: Stop Chasing, Start Attracting
Fixing the funnel is the fast win. The durable win is becoming a school parents recommend without being asked — what we call a magnetic school. That is built on five levers: brand, teacher quality, parent trust, student outcomes, and admissions & outreach working together.
